Abstract

This article aims to analyze, through a review of the state of the art in an international context, the availability of guidelines, manuals, and support materials for museum documentation, considering their implications for collection management and the ethical and legal challenges involved. The research adopts a descriptive, qualitative-quantitative approach of a basic nature. The results reveal a wide diversity of systems incorporating metadata standards, covering areas such as museology and heritage, biodiversity, environmental science, and digital education and humanities. However, they highlight the need for more robust guidelines for the implementation of metadata standards in collection management, emphasizing the importance of an ethical and inclusive approach that respects cultural rights. Furthermore, there is a shortage of manuals for implementing metadata standards in institutions, indicating the need for resources that provide clear and accessible guidance to museum professionals.

Author Biographies

Renata Cardozo Padilha, Federal University of Santa Catarina (UFSC)

PhD in Information Science from the Universidade Federal de Santa Catarina (2018). Master’s in Information Science from the Universidade Federal de Santa Catarina (2014). Bachelor’s degree in Museology from the Universidade Federal de Pelotas (2011). She is an Assistant Professor in the Undergraduate Program in Museology at the Universidade Federal de Santa Catarina. She has experience in the fields of Museology and Information Science, mainly working on the following topics: museum documentation, collection management, organization and dissemination of collections, digital reproduction, exhibition design, virtual exhibitions, museum communication, photographic collections, digital collections, and memory. Currently, she is a member of the research group Representação e Organização do Conhecimento (ROC).

Thainá Castro Costa, Federal University of Santa Catarina (UFSC)

Bachelor’s degree in Museology from the Universidade Federal do Estado do Rio de Janeiro (2010). Master’s degree in Social Memory from the same institution (2012), and PhD in History from the Universidade Federal de Juiz de Fora (2017). She has been an Assistant Professor at the Coordenadoria Especial de Museologia at UFSC since 2013. She coordinated the undergraduate program in Museology from 2018 to 2020. She has experience in the field of Museology and collection management, with a focus on narratives and exhibition methodologies.

Beatriz Tarré Alonso, Federal University of Santa Catarina (UFSC)

Master's Degree in Librarianship and Information Science from the Faculty of Communication at the University of Havana (2018). Graduation in Information Sciences from the Faculty of Communication at the University of Havana (2015). Librarian and specialist in Document Management at the National Museum of Fine Arts of Cuba (MNBA), for 6 years (September 2015 - February 2022). Carolina Foundation Scholarship - Research Stay Ibero-American General Secretariat (SEGIB), at the Faculty of Translation and Documentation at the University of Salamanca, Spain (March - May 2021). Member of Conecta Iberoamérica (since March 2021). Gladys Krieble Delmas Foundation Travel Award (March 2023). Member of Art Libraries Society of North America (ARLISNA) and Cuban Society of Information Sciences (SOCICT) (2019). Collaborator in the organization and jury service team of the Havana International Film Festival (December 2018 - December 2021). She is currently a scholarship holder of Coordination for the Improvement of Higher Education Personnel (CAPES) and vinculated to the Graduate Program in Information Sciences (PGCin) at the Federal University of Santa Catarina (UFSC) (March 2022). Member of the research group "Representation and Organization of Knowledge" (ROC) at UFSC (March 2022). Member of the editorial team of Encontros Bibli magazine (June 2022). Letícia Felix Voltolini, Federal University of Santa Catarina (UFSC)

PhD candidate in Information Science at the Programa de Pós-Graduação em Ciência da Informação of the Universidade Federal de Santa Catarina (PGCIN/UFSC), where she also completed her master’s degree in 2023. Bachelor’s degree in Museology from the same university, obtained in 2021. Works on research and projects focused on Museum Documentation and Information Management. Currently, she is part of a research project on Museum Documentation in partnership with IBRAM and is a member of the Student Representation of PGCIN-UFSC. She has experience in museum documentation, information management, and preventive conservation of collections.

Dalton Lopes Martins, University of Brasilia (UnB)

Professor in the Library Science program and in the Graduate Program in Information Science at the Faculdade de Ciência da Informação of the Universidade de Brasília. Currently on assignment at the Instituto Brasileiro de Museus (IBRAM), where he is responsible for the Coordenação Geral de Sistemas de Informação Museal. He is also a permanent faculty member in the Graduate Program in Human Condition Studies (PPGECH) at the Universidade Federal de São Carlos. He holds a degree in Electrical Engineering from the Universidade Estadual de Campinas (2002) and a master's degree in Computer Engineering from the same university (2004). He earned his PhD in Information Science from ECA-USP (2009–2012), focusing on mapping, structural analysis, and the dynamics of social networks in distributed digital environments. His research focuses on digital objects and repositories, digital collections, interoperability strategies for information systems, linked open data, data science, and machine learning with an emphasis on digital object analysis. He coordinates the research project Tainacan—a free software for the social construction of digital repositories—in partnership with the Instituto Brasileiro de Museus (IBRAM), the government of the state of Espírito Santo, the Fundação Nacional das Artes (FUNARTE), and the Instituto do Patrimônio Histórico e Artístico Nacional (IPHAN).
